Onboarding FAQs and Common Terms

This article is to highlight some of the common queries that come up during the Onboarding Process both from, our primary contact in firms and regular team members.

What is Practice Protect?

Practice Protect is an app that provides a secure and convenient way for firms to present applications to users. Users login to Practice Protect using a single set of credentials where they access a single ‘click through’ page to all of the apps their company has delegated to them.

You can think of it as your firms own app store where all of your company’s apps can be accessed with a single username and password instead of a different ID for every cloud app in your firm.

What is a password admin?

Password admins‘ are the nominated internal person/s responsible for managing access to cloud apps and is our point of contact during the onboarding process. This should be a practice manager or someone else operationally involved in the business.

Note: For firms with more than 15 staff, we strongly recommend appointing multiple password admins at a ratio of 1:10 staff, to avoid single point of authority issues.

What is a ‘sensitive’ app?

All of your company apps will be presented in Practice Protect however we only centralise the password control aspect of what we call ‘sensitive apps’. Sensitive apps are applications in your firm that hold financial or highly sensitive client information such as your practice management tool, your clients’ financial information or a company CRM.

The process of centralising password control is a time-consuming one for the password admin so it’s always best to be discerning when allocating app sensitivity.

How long does the on-boarding process take?

The onboarding process typically takes 5-15 business days depending on how many users are in your firm and how many applications will be secured.

How much of our time is needed?

Each nominated password admin(s) should expect to invest 3-6 hours depending on the number of staff to be on-boarded, the number of sensitive applications your firm has and how involved he/she wants to be. Each staff member should expect to invest 5-15 minutes in an individual PC setup session.

What is Mail Redirection?

Mail Redirection is a simple process that diverts password reset emails from users to your password admin, however it requires access to your mail system for us to be able to configure these settings. Please refer to this article and/or send it to your IT provider to ensure the process is a smooth one.

What Web Browsers or Applications do Practice Protect work with?
